ADMINISTRATIVE ASSISTANT/RECEPTIONIST

Overview: The Administrative Assistant/Receptionist is a part time hourly position reporting to the Operations Manager. This person will support the day-to-day operations of the office, supporting Comfort Cases’ volunteers, professional staff, Executive Director, and Board of Directors. Office hours for the Administrative Assistant/Receptionist will be Monday through Friday 10 AM to 3 PM or Monday through Thursday 10 AM to 5 PM.

Duties and Responsibilities:

  • Serve as first point of contact at Comfort Cases in person and on the phone.

  • Answering general phone and email inquiries in a kind, courteous, and professional manner and directing them to the appropriate person accordingly.

  • Greeting and directing visitors of the Center to the appropriate parties with a warm welcome and friendly demeanor.

  • Accepting donations and shipments.

  • Provide administrative support for development activities including appeal and acknowledgement letters, receive and record contribution checks, prepare periodic reports, and complete follow-up.

  • Supporting the office’s open hours to provide volunteers with insight, as needed on how to complete office tasks.

  • Answering questions and finding information for employees, volunteers, donors, and other parties.

  • Replying to general information requests with accurate information

  • Supporting Comfort Cases’ program by assisting with operations and distribution needs

  • Entering and maintaining data, as is requested, in the office’s database.

  • Ensuring that the office is well-maintained, organized, and secure.

  • Schedule and provide support for board and committee meetings.

  • Provide administrative support to Executive Director and other staff as appropriate, including meeting coordination, scheduling, travel arrangements, etc. as needed

Knowledge, Skills and Abilities:

  • Strong commitment to Comfort Cases’ mission and values.

  • High levels of professional effectiveness, collaboration, integrity, optimism, and high energy.

  • Outstanding organization and detail orientation.

  • Excellent time management and problem solving skills.

  • Comfort with cloud technology; experience with Neon or related systems preferred.

  • Excellent verbal and written communication with a keen attention to detail.

  • Flexible and adaptive work style with the ability to thrive in a growing, entrepreneurial, mission-driven environment.

  • 1-3 years of work experience in an office/administrative role

Compensation: $15/Hour

Part-Time Program Support Assistant - WEEKDAYS

Overview: Comfort Cases is seeking a Part-time Program Support Assistant to assist the organization in fulfilling its mission to inspire communities to bring dignity and hope to youth in foster care. The Program Support Assistant will assist in ensuring that Center operations run smoothly including volunteer open hours, scheduled groups, and donation drop off. The Program Support Assistant is a part-time position reporting to the Program & Volunteer Coordinator. The position involves receptionist and clerical duties. Hours for the Program Support Assistant will be Monday through Friday 10:30 AM to 2:30 PM.

Duties and Responsibilities:

  • Provide oversight and direction to groups and volunteers of tasks as assigned.

  • Model task completion for groups and volunteers.

  • Educate and empower volunteers to work independently.

  • Ensure volunteers complete required paperwork upon arrival and sign-out upon departure.

  • Adhere to and effectively communicate Center policies and procedures in a positive manner and seek answers when questions arise.

  • Be aware of Center’s schedule, including groups and volunteers, and use available resources to acquire information as needed (i.e. Google Community Calendar, Google Drive, Gmail).

  • Leverage the capacity of volunteers in order fulfillment for both the Comfort Cases and Comfort XL Programs to agencies locally and throughout the United States.

  • Engage volunteers in fulfilling all tasks and roles (routine, time sensitive, and/or specialized) associated with the operation of the Center and execution of Comfort Cases’ programmatic activities.

  • Engage groups and volunteers in the packing of cases for orders and to pull orders and train as many volunteers as possible on how to pack Comfort Cases.

  • Assist with order fulfillment for off-site community engagement activities and events locally and throughout the United States.

  • Perform other duties as assigned
